utsa.edu/emailactivate : Activate your new email account UTSA Email

As of Monday, October 4, your UTSA-issued my.utsa.edu gmail account has been rendered read-only. 

At any time, you can log in to gmail with your abc123@my.utsa.edu and UTSA passphrase to re-read your emails and access your Google Workspace (Drive, Docs, Sheets, etc).

Once you have activated your new email account, you will be able to migrate any data from Google to your new Office 365 account or other cloud storage or personal device of your choice. 

Step 1: Activate your new email account

  1. Visit the activation link: utsa.edu/emailactivate
  2. Sign in with your myUTSA ID and passphrase.
  3. Click “Activate”
  4. Notice your new email address which is listed on the “Success!” page
  5. Wait just a few minutes while everything is set up for you. Grab a coffee!
  6. Done! You can now sign in to portal.office.com with your new email address and current UTSA passphrase. Click the Mail (Outlook) icon on the left to open your mail.

Step 2: Sign in to your new email account

Now that your account has been activated, it’s time to sign in and see what your new inbox looks like! We recommend using a supported web browser to access your email, as opposed to a desktop application.
To sign in to your new inbox on the web: 

  1. Visit portal.office.com
  2. Sign in with your new email address: preferredfirstname.lastname@my.utsa.edu and UTSA passphrase.
    Note: your passphrase did not change with this email switch.
  3. Click the Outlook icon on the left hand side of the page:

Step 3: Customize your experience

You can customize the way the Outlook Web App looks and how messages are displayed by applying themes and editing the display settings.
Themes:

  • To change the visual theme, click the Settings icon (gear icon)
  • Click a theme you like. For more, click view all.
  • Once you a click a theme, it will save automatically.

Note: the Dark Blue Square is a UTSA theme!
Display Settings:
Outlook offers several display options, including:

  • Dark Mode
  • Focused Inbox (automatically separates your most important email)
  • Desktop Notifications
  • Toggle Display Density (show many or fewer emails on screen at a time)
  • Conversation View (view all related emails in one thread)
  • Reading Pane location

Step 4: Clean up Loose Ends

Any time you get a new email address, there are going to be a few details to attend to. This is especially important when you get a new student email address. Are you a student worker at UTSA?

Whether you were using your my.utsa.edu Gmail address or a different, preferred email address, here are a few things you should address as soon as possible.

Blackboard: 

  • Your ability to sign in and access Blackboard has not been impacted by the email change. All of your email notifications from Blackboard will automatically arrive in your new first.last@my.utsa.edu inbox.
  • However, you may need to make some changes to Blackboard-integrated tools and services you use:
    • If you use an iClicker account, you will need to manually change your email to your new address. Click here for instructions.
    • Similarly, you may need to manually change the email associated with textbook/learning products like Cengage.
    • Please verify that Blackboard emails you need are not being sent to your Unfocused or Spam email.

Mobile Devices:

Saved Emails in your Web Browser(s)

Your email address changed, but your web browsers across devices may still “remember” your former email address.

OneDrive Account Data:

UTSA offers all students, faculty, and staff 1TB of cloud storage via Microsoft OneDrive for Business.

Prior to October 4, 2021, UTSA students received an Office 365 account with access to many Microsoft products and features, including OneDrive (but not email). At this time, you can still access this data. 

We recommend that you migrate any data and files from your previous OneDrive to your new one (associated with your new first.last@my.utsa.edu account) as soon as possible.
